Our healthcare team consists of physicians, nurse midwives, nurse practitioners, physician assistants, dietitians, nurses, respiratory therapists and medical assistants working in concert with laboratory/imaging services to offer individualized care to the Chippewa Valley.
Position description The Medical Office Assistant - Scheduler in our Dermatology department is primarily responsible for scheduling patient appointments by phone.
This position will work in a high-volume and fast paced environment scheduling patients for appointments, procedures, tests, and other services in a timely, professional, and courteous manner.
You will communicate with patient care teams as necessary to ensure efficient, appropriate care for patients and coordinate the scheduling of services for patients.
Other duties may include answering incoming calls, directing calls to appropriate staff, greeting, and checking in patients for office appointments, and other clerical duties as assigned.
Responsibilities:
Primarily Responsible for scheduling Dermatology patient appointments by phone Working in a high-volume and fast paced environment, scheduling patients for appointments, procedures, tests, and other services in a timely, professional, and courteous manner Answers incoming calls, completes follow-up and referral work queues, and ticket scheduling Communicates with patient care teams as necessary to ensure efficient, appropriate care for patients Full pre-registration of all patients calling to schedule an appointment, including updating of guarantor information and verification of insurance eligibility Coordinates the scheduling of services for patients including ancillary and procedure scheduling Proficiently and accurately enters data into the permanent electronic health record while talking with patients Greet and direct all patients and visitors within the practice Obtain patient demographic and verify insurance information at each visit Obtain necessary patient information to meet current Federal guidelines and Meaningful Use guidelines for electronic medical records Scan pertinent patient information into EMR including patient authorizations, recent labs delivered by patient, etc.
Obtain patient authorization for medical records release (HIPAA compliance) Assist in ordering, receiving, and stocking of office supplies Read and act on Clinic information and communication in a timely manner, i.

Other clerical duties as assigned by clinic manager, supervisor, or providers Qualifications Minimum of a High School diploma; Associate's degree preferred At least one-year relevant experience and/or training Electronic Medical Records (EMR) experience preferred Excellent interpersonal and customer service skills Ability to work independently on assigned tasks Comfortable working in a flexible team environment Ability to multi-task, handle a high volume of calls and prioritize daily tasks Strong organizational skills Excellent verbal and written communication skills Multi-task quickly effectively in a fast-paced environment Work Environment While performing the duties of this job, the employee regularly works in a clinic or office setting.
